Team Roles & Responsibilities

Every role plays an important part in creating a welcoming, organized, and memorable experience for our guests. Please review your responsibilities before event day so everyone knows where to be and how they can help throughout the afternoon.

All Team Members

Regardless of your assigned station, we ask everyone to help create a welcoming, organized, and memorable experience throughout the event.

Guest Experience

  • Welcome guests with a smile and introduce yourself when appropriate.

  • If someone appears to be attending alone, help them feel included by starting a conversation or introducing them to another guest.

  • If you don't know the answer to a guest's question, walk them to the appropriate team member instead of pointing them to someone.

Teamwork

While each person has a primary station, we're one team.

If your station is caught up:

  • Check if another station needs support.

  • Refill shared supplies before they run low.

  • Help keep common areas organized.

  • Offer assistance before being asked.

The best events happen when everyone looks out for one another.

Event Standards

  • Please be fully set up and guest-ready by 2:30 PM!

  • Keep your station clean throughout the event.

  • Keep personal belongings stored away from guest-facing areas.

  • Stay hydrated and take short breaks as needed (let another team member know first).

  • Represent ARKYVS with professionalism, kindness, and hospitality.

Closing & Breakdown

Between 5:15 PM and 5:30 PM, everyone helps reset the venue.

Please:

  • Pack your station.

  • Return borrowed equipment.

  • Wipe down tables and counters.

  • Dispose of trash properly.

  • Complete a final walkthrough with Andrea or Aldric before leaving.

Our goal is to leave the studio just as beautiful as we found it.

"Will this help someone feel welcomed, inspired, and excited to return?"
